MAP for GAGP Grant Funds ~ The Way to Apply for Grant Funds ~

  • To Obtain a GAGP Official Application Form

    GAGP application forms are available at the entrance to the Embassy and the Embassy’s web site, URL: http://www.eg.emb-japan.go.jp/
     

    • Please fill all the blanks of the application form. [ Don’t miss any blank !! ]

    • Please prepare all the necessary attachments. [ Don’t miss any paper !! ]

  • To Apply for GAGP
     

    • The application and attachments are to be submitted at the entrance to the Embassy.

    • Tell entrance security that your application needs to go to the GAGP Staff in Economic Section.

      N.B.: If you do not hear from us for 3 months after the submission of your application, please be aware that your proposal has not been selected by the GAGP application screening committee.

  • Application Screening - The 1st Assessment
     

    • The Embassy will decide whether the project deserves further study.

↓

  • Meeting, Site Visit and Feasibility Study - The 2nd Assessment
     

    • More screening gets done at this stage.

  • The Assessment by Tokyo Headquarters

    ↓
     

  • Approval from Tokyo Headquarters

    ↓
     

  • Submission of Declaration by your Organization

    ↓
     

  • Signing of Grant Contract

    ↓
     

  • Signing of Procurement Contract

    ↓
     

  • Grant Funds Provision

    ↓
     

  • Opening a bank account exclusively for Grant Funds
    Depositing the Grant Funds in the account

    ↓
     

  • Getting approval to use the Grant from the Ministry of Social Affairs
     

  • Start of implementation of the Project [ * For example, purchasing equipment, construction, or renovation ]
    Submission of a photocopy of receipt
    Submission of a photocopy of money transaction slip

    ↓
     

  • Submission of Report 1

    ↓
     

  • Completion of implementation

    ↓
     

  • Refund of remainder (if any)

    ↓
     

  • Submission of Report 2
    Submission of the Accountant’s Inspection Report
     

    • The Accountant’s Inspection Report should be written by an accountant who is not connected with your organization.

  • Submission of Report 3

    ↓
     

  • CONGRATULATIONS !
