GAGP Frequently Asked Questions

Before the Grant Contract:

  • What is the maximum amount of money that can be provided for a project?
     

    • In principle, the Grant Funds is allowed within 10,000,000YEN (Approximately US$ 86,000) per Project and it is not allowed to exceed the organization's total income of the previous year.
       

    • However, GAGP targets projects which require funding for minimum significant development needs. Projects requiring the maximum amount without proving their need is significant are not selected as GAGP recipients.
       

  • Are all the items and money applied for always approved?
     

    • No, not always.

      After the first application assessment, selected organizations will be contacted for our second assessment, namely the Feasibility Study. We then request you to re-examine the items as minimum needs, depending on the results of our Feasibility Study.
       

  • Where do the Grant funds come from?
     

    • The Grant Funds are provided by a tax paid by the ordinary people of Japan.
       

    • GAGP is obligated to make it clear to the people of Japan that the funds are appropriately used. Therefore, it has many regulations and rules for the recipients to comply with.
       

  • Can we meet GAGP staff to explain our project proposal during the first assessment?
     

    • No. We do give a proper assessment of each application, which means your proposal documents, including the application form and the attachments, have to be precisely prepared, with enough information to show the importance of your project.
       

  • How long does it take to receive the Grant Funds and how long do we have to wait?
     

    • 1. The first application assessment usually takes 2 to 3 months after your submission.
      2. If your proposal is accepted, we will then implement a Feasibility Study.
      3. If they are approved, the documents will be sent to the Headquarters in Tokyo for their assessment.
      4. If they are approved by Tokyo, we move to procedures for providing funds.
       

    •  In order to be successful, you must complete necessary tasks if so required at any stage.
       

    • The process from No. 3 to the provision of funds usually takes at least another 2 to 3 months.
       

    • We cannot affirm the provision date unless the applied projects have passed all the GAGP assessments.
       

  • Do you notify us if our application has been successful or not?
     

    • We will contact you only if your proposal passes the first application assessment.

      If you do not hear from us for 3 months after the submission of your application, please be aware that your proposal has not been selected by the GAGP application screening committee.

       

  • When do we have to submit the application?
     

    • We accept applications all year around.

  • What kind of projects and which fields are suitable for GAGP?
     

    • GAGP prefers projects in the following seven fields;
      Women in Development (WID), Primary Education, Vocational Training, Primary Health Care, Welfare, Human Rights and Environment.
       

    • If the project has already started or if the organization plans to finance enough of the running costs of the project, the possibility of becoming a GAGP recipient is higher.
       

  • What items can be provided by GAGP ?
     

  • Do you accept applications in Arabic ?
     

    • No, unfortunately not at present.
       

  • How do you provide the funding ?
     

    • The funding is provided by check in US$.
       

    • After you receive the money, you must open a bank account solely for the Grant Funds, deposit the funds in US$ immediately in the bank account and withdraw the money at each payment.
       

  • Do we have to estimate the cost in US$ since the funds is to be provided in US$ ?
     

    • It would be preferable.
       

  • Why do we have to provide cost estimates from three different suppliers for each item?
     

    • Because it has to be proven if the costs are reasonable and appropriate.
       

  • I would like Grant Funds for computers …
     

    • GAGP is targeting projects which provide fundamental needs for development and we do not consider computers as fundamental needs today in principle.
       

  • I would like Grant Funds for buses …
     

    • GAGP tends not to provide funds for any vehicles except special-purpose vehicles (e.g. garbage carts and trucks for sewage removal).
       

  • I would like Grant Funds for staff salaries, operating costs and maintenance…
     

    • Salaries, operating costs, maintenance and banking fees cannot be considered as the Grant items according to GAGP’s regulations.


After Grant Contract:

  • After the signing of the Grant Contract, we would like to change the items.
     

    • You are not allowed to make any change to the contents of the Grant Contract.

      The Grant Funds are not donation to use however you like, but their purpose is to finance a certain cost of certain items previously agreed on in the Grant Contract.

      Therefore, it is vital to thoroughly examine the necessary items before applying.
       

  • Because of rising prices, some of the items agreed on in the Grant Contract cannot be purchased by the provided funds. Could you provide additional funds for the shortage?
     

    • No. Additional funds are not available. (You must pay the difference.)
       

  • Because of the unstable exchange rate, there will be some money remaining. Can we use the remaining money for something else?
     

    • No. The remainder is to be returned to the Headquarters in Tokyo. It is strictly forbidden to use any remaining Grant Funds without official approval.
