Authentication of official seals

The Embassy does certify the seal of the document which meets all of the following conditions;
  • (a) It must be original.
    (Note: The certificates issued at a convenience store with "POPITA" technology are not certifiable.)
  • (b) It has NOT been certified by the Ministry of Foreign Affairs of Japan.
  • (c) The institution that issued the document must be one of the following:
- Government or local government
- Independent administrative agency
- Statutory corporation designated by the Ministry of Foreign Affairs of Japan
- University
- High school
- Junior high school
- Elementary school
- "Yochien" (kindergarten) (IMPORTANT: The seals of "Hoikuen" (nursery) are not certifiable.)
- In addition, we are able to certify the seal of notarial deed authenticated by the director of Legal Affairs Bureau, Ministry of Justice of Japan.
 

The time to process

If the Embassy finds the image of seal at our database, we can issue the certificate on the same day (appointment is required).
Otherwise, it takes a few days to a week to issue it.

(b) Valid passport or Government ID with photo
(c) Application (to be filled out at the window)

Please come to the Embassy to submit the necessary documents in person.
-The applicant must make an appointment by email beforehand. We are open from Sunday through Thursday, from 9:00 am through 2:00 pm. 
- The Embassy accepts submitting the documents by a proxy. The proxy must bring a power of attorney filled out by the applicant.
 

Police certificate

The police certificates from the the Japanese National Police Agency are issued only when requested by certain governmental authorities (e.g. an embassy, immigration agency) as required by law.
 

The time to process

Your application will be forwarded to Japan and it will take approximately two to three months to process.
 

Necessary documents

(a) Valid passport
(b) Application (to be filled out at the window)
(c) Fingerprint form (your fingerprints will be taken at the window)
(d) Official document which informs on the reason why you need the police certificate
(You don't need it if the reason is popular such as for immigration to Canada. Please check with the Embassy beforehand if your reason is popular to us)
 

Apostille

In some cases submission of an apostille may be required by the requesting organization in place of a fully legalized certificate, as facilitated by the Hague Convention of 5 October 1961 Abolishing the Requirement of Legalisation for Foreign Public Documents (Hague Apostille Convention).
Please confirm with the organization requesting the police certificate whether you will require apostille and be sure to inform us of this requirement when you apply.

Appointment

Please come to the Embassy to submit the necessary documents in person.
(You can not send a proxy as your finger prints must be taken at the Embassy.)
 

Certificate of birth/death

The Embassy is able to issue a certificate of birth or death if it meets all of the following conditions;
  • (a) It took place in Japan.
  • (b) It was reported to the local government of Japan and successfully accepted by it .
  • (c) The applicant can submit the original certificate of acceptance of birth/death report issued by the local government.

The time to process

The certificates will be issued next working day of the day of application (if the documentation is in order).

(a) Original certificate of acceptance
(b) Valid passport or Government ID with photo of the applicant
(c) Official document(s) such as passport which provides the English spelling of full name of the parents
(d) Application (to be filled out at the window)
